Job Purpose
The Food Assistance Information & Reporting Coordinator is responsible for overseeing the implementation of tracking systems and reporting for food assistance deliveries. This role involves managing system functionality, building staff capacity, analyzing commodity risks, and ensuring data quality standards align with World Vision (WV) partnerships and donor requirements. The coordinator is the key custodian of commodity accounting and reporting for the entire food assistance programme.
Major Responsibilities
Coordination and Team Building
- Foster a collaborative team environment through mentorship and professional development.
- Coordinate the implementation of management decisions to meet quality standards and strategic alignment.
- Model servant leadership, maturity, and integrity, reinforcing WV core values and fostering mutual trust among staff.
Capacity Building
- Support and mentor local institutions (CBOs, FBOs) and smaller NGOs to enhance capabilities and ensure compliance.
- Build partner capacity in project, financial, and performance management to gain the respect of community leaders and authorities.
Resource Stewardship
- Enforce accountability and efficient resource utilization to achieve satisfactory financial and operational audit results.
- Ensure value for money for every activity and adhere strictly to internal controls.
Technical and Operational Activities
- System Administration: Manage user access for internal/external commodity systems; coordinate with Global DM IT for credential verification.
- Digital Integration: Oversee the application of digital technologies including LMMS-ITS, Partner Connect, LESS, Track & Trace, and Global Distribution Tool.
- Compliance: Collaborate with Logistics, Compliance, and Program Managers to ensure systems meet regulatory and donor requirements.
- Training: Deliver technical backstopping and training on tracking procedures, specifically for LMMS-ITS.
- Risk Management: Analyze and resolve commodity risks; ensure loss reporting and claims comply with WV and donor requirements.
- Data Quality: Oversee precise data entry into tracking systems and verify the quality of generated reports.
- Reporting: Upload monthly LMMS-ITS reports and draft Commodity Summary Statements (CSS) and narrative reports into the Disaster Grants Database.
Job Requirements
Education and Certification
- Bachelor of Arts or Science in Computer Science, Information Technology, Business Management, Economics, Agriculture, or related fields.
Professional Experience
- 4–6 years of experience, with at least two (2) years in humanitarian and development contexts.
- Previous experience with refugees or internally displaced persons (IDPs) is preferred.
Technical Competencies
- Standards: Understanding of Core Humanitarian Standards and SPHERE standards.
- Systems: Demonstrated expertise in LMMS-ITS, PC, TT, and CPDR.
- IT Skills: Solid background in Windows OS, system services, and software administration.
- Networking: Ability to set up and troubleshoot wireless ad-hoc peer-to-peer networks and understand TCP/IP protocols.
- Analytical: Strong problem-solving skills with high attention to detail.
Physical Requirements
- Ability to work beyond standard hours during reporting periods and endure extreme weather conditions (high heat).
