Receptionist/Admin Assistant

The Receptionist/Admin Assistant is responsible for providing efficient administrative and clerical support while maintaining excellent communication and a professional attitude. The role involves assisting visitors, managing office communications, coordinating logistics, and supporting staff with administrative tasks, while upholding organizational values and ensuring smooth day-to-day office operations.

Qualification

  • Bachelor’s degree in office management, secretarial sciences, or related field.

Experience

  • Minimum of 1–2 years of relevant experience in office management (NGO experience is an advantage).
  • Formal training in office procedures, Microsoft Office applications, and office equipment.
  • Knowledge of office administration and basic bookkeeping procedures is a plus.

Language

  • Proficiency in English and Amharic.
  • Knowledge of a regional language is required.
  • Additional national languages are an advantage.

Key Responsibilities

  • Manage incoming calls, direct them appropriately, and take messages.
  • Greet and assist visitors professionally.
  • Arrange and coordinate meetings, trainings, and workshops.
  • Handle administrative tasks such as filing, data entry, scanning, and correspondence.
  • Manage travel arrangements, hotel bookings, and guest accommodations.
  • Maintain office records, documents, and visitor logs.
  • Support staff with logistics, event coordination, and administrative needs.
  • Prepare payment documentation and handle office-related financial processes.
  • Monitor calendars and coordinate staff engagement activities.
  • Perform other duties assigned by the supervisor.
