Job Description
Result of Service
- On time completion of billing.
- Full data analysis of buildings rent in the city and associated services.
Work Location: Addis Ababa Expected Duration: 9 months
Duties and Responsibilities
The post is located in the Facilities Management Section, at the Economic Commission for Africa (ECA). Under the supervision of the Chief PPI Unit, the Lease Processing Assistant will be responsible for the following functions but not limited to:
- Creating, managing, renewing and terminating of real estate leases.
- For new contracts, fill a form and liaise with the focal person in SCMS for new BP creation.
- Liaise with facility planner for creation of architectural object, usage object and pooled space and extraction of rental space.
- Liaise with facility manager for approval and release of rental object.
- As lease processor, check business partner for the lease contracts.
- Create lease out contracts (Lease Out External and Lease Out Internal).
- Liaise with lease approver for contract approval.
- Update all information to lease contracts.
- Create lease conditions and simulate posting for Lease Out External contracts.
- For Lease Out Internal contracts, liaise with the UN agencies to get coding block and update in the system.
- Create lease condition for Lease Out Internal contracts after generation of earmarked fund; liaise with earmarked fund intermediate & approving officer of the tenants for two-level approval.
- After posting simulation of the Lease Out External and Lease Out Internal contracts, confirm the correctness of the cash flow and liaise with finance section for actual posting.
- Liaise with SCMS for commercial and catering service contracts; update term & renewal in the system.
- Prepare annual rental income of premises; master data update for any change; keep all records.
- Liaise with budget & business unit for rental income of premises actual, estimate and projection submission.
- Conduct rental market survey of buildings in town and assess all services associated with rental.
- Make analysis of the existing MOU and liaise with BMMU, BU & PPIU unit to build service level agreement.
- Prepare a comprehensive service catalogue for FMS with liaising BMMU, BU and PPIU.
- Perform other related activities assigned by Chief PPIU.
Qualifications/Special Skills
- High school completion is required.
- Financial knowledge and administration skills are required.
- Five years of progressive experience directly related to Finance and Accounting.
- Work experience in the United Nations system would be an asset.

- Fluency in English language is required.
