Job Description
The Faculty Secretary is responsible for providing administrative and secretarial support to faculty members and academic departments to ensure smooth daily operations. The role involves managing office documentation, coordinating communication, supporting academic scheduling, and maintaining organized records within the faculty office.
Key Responsibilities
- Provide administrative and secretarial support to faculty staff and department heads.
- Manage incoming and outgoing correspondence, including emails, letters, and phone calls.
- Organize and maintain academic records, files, and office documentation.
- Assist in scheduling meetings, academic calendars, and appointments.
- Prepare basic reports, letters, and official documents as required.
- Support coordination of faculty events, workshops, and meetings.
- Maintain confidentiality of academic and administrative information.
- Ensure smooth day-to-day office operations and follow up on assigned tasks.
Qualification
- Level 3+ in Office Management, Secretarial Science, ICT or related field.
Skills
- Advanced MS Office skills (Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Good organizational and time management skills.
- Ability to multitask and work under minimal supervision.
- Attention to detail and accuracy in documentation.
- Professional behavior and confidentiality handling.
